The Problem That Existed Before PDF

The PDF 1.5 standard was launched in 2003 and included such technical features as better compression and structuring, support for JPEG 2000, multimedia, etc.

The PDF 1.6 standard appeared in 2004 and included features such as 3D content, OpenType fonts, AES encryption, etc.

The Web Helped PDF Become Universal

With the advent of the World Wide Web, the conditions were perfect for PDF. HTML was great at creating web pages, but web pages and fixed-layout documents served separate purposes.

Often there was a need for documents to have a consistent page layout. Forms, instructions, academic works, brochures, technical documentation, reports, and applications were some examples where consistency of the document was important. The PDF came in handy here.

A user would be able to download a document and view it with the same page layout as designed by its creator. With the availability of free PDF viewers and faster computers, any previous hindrances had become a non-issue.

One of the major milestones in the history of PDF was when the control of the specification moved from Adobe. Adobe revealed in 2007 that it would publish the whole specification of PDF 1.7 for standardization. The next year, in 2008, PDF 1.7 was converted to ISO 32000-1:2008, an international standard for Portable Document Format.

PDF was no longer simply a proprietary specification whose future was controlled solely by Adobe. Further development of the standardized format moved into the ISO process involving industry experts. The change helped strengthen PDF's role as a long-term document standard because software developers could implement the specification within an internationally standardized framework.

The next big milestone came in 2017. The ISO 32000-2:2017, popularly known as PDF 2.0, became the first version of the PDF specification that was created entirely using the ISO committee process.

The aim of creating the PDF 2.0 specification was not to create something that replaced the established idea of PDF; rather, it aimed at making the specification technologically up-to-date, clearing out requirements and deprecating old elements.

A new version of PDF 2.0, namely ISO 32000-2:2020, came in 2020 with corrections and new normative references. Now, the PDF format has been transformed into an internationally managed document technology.

Specialized PDF Standards

As PDF gained prominence in diverse industry sectors, it was not always enough to have one standard that could serve everyone.

Why PDF Survived While Other Formats Disappeared

There were many other electronic document formats vying for recognition apart from PDF during the period of the 1990s. Some of them include Envoy, Common Ground Digital Paper, Replica, DjVu, and other solutions.

Yet PDF became the dominant fixed-layout document format. Several factors contributed to its longevity.

  1. It addressed a very real problem—the preservation of document presentation through multiple computing environments.
  2. Adobe kept working on refining the standard rather than freezing it in time at 1990s technology.
  3. Free PDF readers eliminated one recipient barrier.
  4. Software support ensured that eventually people would be able to produce and access PDF documents without relying on just one program.

How PDF Changed the Way We Work

The Future of PDF

The future of PDF will likely have less to do with the format's replacement and more to do with changing how it is used. OCR technology is capable of turning scanned pages into searchable content. Browser-based applications can edit documents using nothing but web browser capabilities. Standards of accessibility continue to enhance the use of digital documents by disabled users.

Automation and AI are also having an impact on document processing. Not only does the software read the page, but it can now extract tables, find data, summarize the documents, classify them, and structure the content.

And yet, the core idea of the PDF format is still extremely relevant. The user wants a document to be moved from one environment to another with the same content and the desired visual presentation. More than three decades after the invention of PDF, the necessity is still crucial for digital communication.
